WebBeds Central - Extranet Connectivity

WebBeds Central is our secure extranet that gives hotel partners direct control and visibility across key areas of their partnership with WebBeds.

Designed to support different supplier needs, the platform provides tailored access based on user type, ensuring teams can efficiently manage what matters most to them — from rates and availability to bookings and performance insights.

Permissions are set according to your role and property setup. Chain and head office users can view bookings and performance across multiple properties, while CHM and property‑level users can manage rates and availability, apply stop sales, and maintain inventory in real time. This role‑based approach helps reduce manual effort, improve accuracy and support more efficient day‑to‑day distribution management.

To request access or update user permissions, please contact your WebBeds Sourcing representative, who will guide you through the setup.

Channel Manager Connectivity

Channel Manager connectivity allows hotel partners to manage rates, availability, and restrictions for WebBeds through supported third‑party channel management systems.

By connecting through an approved channel manager, inventory updates are transmitted automatically to WebBeds, helping ensure accurate availability and consistent pricing without the need for manual extranet updates. This option is particularly well suited to properties managing multiple distribution channels or seeking to streamline day‑to‑day rate and inventory management through a single platform.

Availability of channel manager connectivity depends on your technology setup and supported partners. Your WebBeds Sourcing representative can confirm compatibility, support the connection process, and ensure your distribution is configured correctly to align with your operational and commercial requirements. Switch Connectivity

Switch Connectivity enables hotel partners to distribute rates and availability to WebBeds through decentralised distribution chains (DDC), providing an efficient alternative to direct extranet management or traditional integrations.

Designed for properties and groups using supported channel managers or CRS partners, this connectivity option allows inventory, pricing, and restrictions to be updated automatically, helping ensure accuracy and consistency across distribution. Updates flow through approved connectivity partners, reducing manual effort while supporting real-time availability and rate changes.

Availability of Switch Connectivity depends on your technology setup and approved DDC providers. Your WebBeds Sourcing representative can confirm eligibility, guide you through the onboarding process, and ensure the correct connectivity configuration is in place to support your distribution strategy.

Static FIT Contracting

Static FIT contracting offers a simplified distribution option for hotel partners with fixed pricing strategies or limited availability requirements. Under this model, rates and conditions are agreed in advance for a defined period and distributed on a static basis, without the need for frequent updates.

This approach is well suited to properties seeking predictable distribution, reduced operational overhead, or participation in specific markets or travel programmes where dynamic pricing is not required.

Static FIT contracts are managed in coordination with your WebBeds Sourcing representative, who will support setup, ensure correct content distribution, and advise on where this model best complements your overall distribution mix.

First check your channel manager or extranet settings. If the issue continues, contact your WebBeds sourcing or support contact.

Can I apply stop sales or close‑out dates?

Yes. Property‑level and CHM users can apply stop sales and manage inventory controls in real time.

How do I report a rate parity violation?

Parity issues can be reported using WebBeds Parity Monitor, where eligible users can submit pricing discrepancies at property level.

Who can submit parity violations?

Property‑level and CHM users can submit parity issues, while chain and head office users can monitor activity across multiple properties.

Can I track the status of a reported parity issue?

Yes. Parity Monitor allows you to view and track the progress of reported discrepancies through to resolution.

Where can I view bookings from WebBeds?

Bookings can be viewed in WebBeds Central, with visibility based on your assigned user role.

Who should I contact about booking discrepancies?

Please raise booking‑related queries with your WebBeds Sourcing representative.

Can chain users see bookings across multiple properties?

Yes. Chain and head office users can view bookings and performance data across their portfolio.

How does allocation work with WebBeds?

Allocation rooms remain open and available for sale, and all existing and future bookings made from allocation must be honoured. If requested dates fall within the agreed release period, any unsold rooms are automatically returned to the hotel.

If you need to close allocation rooms, please contact your WebBeds Contracts Manager directly. Stop sales to allocation are not accepted unless confirmed to you in writing.

How do free sale and capped free sale stop sales work?

Stop sale requests for free sale and capped free sale rooms are processed within 48 hours of receipt of your email. Stop sale teams operate Monday to Friday, so requests received on Friday may be actioned the following Monday. All bookings made prior to the stop sale being applied must be honoured.

For immediate stop sales, we recommend using WebBeds Central or your channel manager, which allows you to manage stop sales 24/7.

Please note that only rooms included in your current live contract can be closed. Dates outside the contract period cannot be closed in advance.

How are bookings confirmed?

All WebBeds bookings are automatically confirmed to our clients at the time of booking and are notified to the supplier either by email or via your channel manager, depending on your setup.

Bookings must be re‑confirmed by the hotel using the hotel reference number. This can be completed by clicking the confirmation link in the booking notification or by updating the booking through WebBeds Central.

How is BAR managed?

BAR rooms remain open and available for sale. Stop sales for BAR can only be managed directly by the hotel using WebBeds Central or via your connected channel manager. Stop sale requests for BAR cannot be actioned by WebBeds on your behalf.

What security standards does WebBeds follow?

WebBeds applies industry‑recognised security standards and best practices to protect systems, data and access. This includes controlled access, secure infrastructure, regular monitoring and ongoing reviews to ensure supplier and booking information is handled responsibly.

We are committed to protecting all data that we collect, transmit and store including that of our clients, suppliers, end travellers, employees, non-trade vendors. Maintaining best practice governance when it comes to data privacy to prevent data breaches which have the potential to impact the satisfaction and confidence of our clients and partners, as well as the operational and financial performance of the Company is a key priority of the organisation. We operate across multiple jurisdictions and remain focused on maintaining compliance with relevant data protection regulations including the General Data Protection Regulation (EU) 2016/679.

How does WebBeds manage user access securely?

User access is granted, updated or removed through controlled processes managed by WebBeds teams. This helps ensure access remains current, appropriate and aligned with supplier requirements.

Does WebBeds use Multi-Factor Authentication (MFA)?

At WebBeds, protecting your bookings and account access is a top priority. We continuously evolve our security protocols to give you confidence every time you access our platform.

All users on the WebBeds Central are protected by Multi-Factor Authentication - an extra layer of verification that ensures only authorised users can access your account and bookings.

We offer two MFA options:

TOTP MFA (Recommended)
A time-sensitive code generated by an authenticator app, refreshing every few seconds

Email MFA
A one-time code sent to your registered email address

Access is restricted to authorised users only and is managed through role‑based permissions. Property‑level, CHM and head office users are granted access according to their role and operational needs.
