To achieve the target number and mix of hotels, with the correct prices and availability, as defined by the Director of Purchasing. You will be responsible for contracting France, so experience working in this region is essential. You will need to be fluent in French. Ideally to be based in our London office, however we will also consider applicants bases in France.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Key Responsibilities:<\/strong><\/p>\n<ul>\n<li>Consult and agree with the Director or Purchasing on the specific product requirements.<\/li>\n<li>Ensure hotels are re-contracted within specified deadlines.<\/li>\n<li>Identify \u2018must-have\u2019 hotels within a destination and contract where appropriate.<\/li>\n<li>Organize regular visits to local hotels to build and\/or maintain relationships.<\/li>\n<li>Consult and agree with the Director of Purchasing on an ongoing basis regarding deletions and additions to product.<\/li>\n<li>Negotiate added-value deals, overrides and special offers.<\/li>\n<li>Coordinate and direct the market manager to help with inventory and pricing changes<\/li>\n<li>Regularly monitor competitor pricing and availability in line with demand.<\/li>\n<li>Liaise with yield team to ensure maximum profit, communicate peak and trough dates so they can be priced appropriately.<\/li>\n<li>Advise on preferred partner hotels in the relevant destinations, negotiate exclusive deals<\/li>\n<li>Address and resolve any standard\/service level issues with suppliers.<\/li>\n<li>Ensure hotels are inspected and details (photos, amenities etc) updated on a regular basis.<\/li>\n<li>Communicate destination information regarding peak dates, trade shows, visitor information etc internally.<\/li>\n<li>Register with relevant tourist boards to gain information and to increase company profile<\/li>\n<li>Assist with group placements as necessary.<\/li>\n<li>Manage the supplier relationship throughout the period of the contract, including dealing with close out requests and book out issues and liaising with relevant departments accordingly.<\/li>\n<li>Co-operate with Health and Safety team to ensure reports are completed and up to date.<\/li>\n<li>Communicate both internally and externally in a professional manner in keeping with corporate guidelines.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Essential Qualifications and Experience:<\/strong><\/p>\n<ul>\n<li>Professional fluency in French<\/li>\n<li>Contracting experience gained with the tourism industry.<\/li>\n<li>Able to develop and maintain strong and trusting relationship with hoteliers.<\/li>\n<li>Educated to degree level of equivalent or equivalent professional qualification.<\/li>\n<li>Strong negotiation skills, pro-active, dynamic, passionate, and a team player.<\/li>\n<li>Highly accurate with an excellent attention to detail.<\/li>\n<li>Well developed written and verbal communication skills.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Department<\/strong>:\u00a0Purchasing<\/p>\n<p><strong>Location (primary)<\/strong>: Palma<\/p>\n<p><strong>Job Purpose:<\/strong><\/p>\n<p>The role of the Contracts Manager is to achieve margin targets set by the company for regions allocated. Team Leader in delivering the output of the department on time and to the standard required by the company.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Key Responsibilities:<\/strong><\/p>\n<ul>\n<li>Recognise and sort invoices via email and\/or printed documents<\/li>\n<li>Use initiative to resolve supplier queries &amp; unresolved disputes<\/li>\n<li>Accurately create the supplier invoice imports (multi-supplier, templates) to ensure accuracy in paying suppliers with all necessary checks and approvals performed<\/li>\n<li>Communicating with suppliers &amp; internal departments over payment and booking queries<\/li>\n<li>Reconciliation of booking adjustments from the booking platform to the creditors ledger<\/li>\n<li>German Vat invoice processing &amp; reconciliation<\/li>\n<li>Updating contact details \/ supplier details<\/li>\n<li>Creating and updating supplier extranet details<\/li>\n<li>Logging failed email addresses and updating primary system<\/li>\n<li>RFT\/Extranet reconciliation to be completed efficiently and in time<\/li>\n<li>Supplier statement reconciliations<\/li>\n<li>Download (data transfer from booking system to accounts system) + reconciliation<\/li>\n<li>Maintaining departmental policies &amp; procedures, making suggestions for improvement<\/li>\n<li>Internal booking actions (accounts actions) processing and reconciliation<\/li>\n<li>Assist the AP team leader and managers with any finance projects as requested by management<\/li>\n<li>To take up help desk tasks and responsibilities in case of high season\/ volume increase<\/li>\n<li>Other ad hoc work as directed by the Accounts Payable Team Leader or Finance Managers<\/li>\n<li>Your responsibilities may be adjusted to cater for a specific role or project<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Key Measures:<\/strong><\/p>\n<ul>\n<li>Suppliers invoices are processed accurately and accordingly to the SLAs<\/li>\n<li>Ensure German VAT invoicing and reconciliation is compliant to legislation and processed accurately and on time<\/li>\n<li>To complete daily tasks on time so it doesn\u2019t affect other departments activities<\/li>\n<li>Maintaining business and departmental internal policies &amp; procedure<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Essential Qualifications and Experience:<\/strong><\/p>\n<p>No specific qualifications required, although a financial background and knowledge of a financial system are desirable.
